The 7 Things Every Freelancer Invoice Must Include (and 3 Mistakes That Delay Payment)
Published April 10, 2026
Freelancers who get paid on time almost always have one thing in common: they send professional, clean invoices that leave no room for confusion. The opposite is also true β vague, typo-filled invoices live in accounts payable limbo for weeks. Here is the 7-point checklist we use ourselves.
1. A unique invoice number
Use an ascending numbered format like 2026-0042. It signals professionalism, helps your accountant, and is legally required in many jurisdictions.
2. Your full business details
Business name (or legal name if sole proprietor), address, email, phone, and tax ID if applicable. Missing tax info is the #1 reason corporate AP departments reject invoices.
3. Client details that match their records
Use the exact legal name on their contract, not the marketing name. Include their billing address and AP contact email if you have them.
4. Issue date and due date
Default to Net 15 or Net 30. Always show both the issue date and the explicit due date β do not force the client to do math.
5. Itemized line items
Each line should have: description, quantity (or hours), rate, and line total. Avoid one-line $5,000 invoices β they trigger extra approval cycles.
| Description | Qty | Rate | Total |
|---|---|---|---|
| Brand strategy workshop (Feb) | 8 | $150 | $1,200 |
| Homepage copywriting | 1 | $850 | $850 |
| Three rounds of revisions | 3 | $200 | $600 |
6. Subtotal, tax, and grand total
Break out the subtotal, any applicable tax, and a final total in bold. If you charge sales tax, include your state and the rate. Use the Sales Tax Calculator to get it right.
7. Clear payment instructions
List every accepted method and the exact details: ACH routing/account, PayPal address, Stripe/Wise link, or a physical mailing address for checks. Nothing kills momentum like a client emailing βhow do you want this?β three days later.
3 mistakes that delay payment
- Sending invoices as Word documents. Always send PDF. It prevents editing, ensures consistent rendering, and looks more professional. Our Invoice Generator exports clean PDFs instantly.
- Vague line items. βDesign workβ is worse than βHomepage redesign β 3 rounds of revisions (Feb 10β28).β Specificity speeds approval.
- Forgetting your tax obligations. Every dollar you earn as a freelancer carries a ~15.3% self-employment tax in addition to regular income tax. Use the SE Tax Calculator and the Income Tax Calculator to budget quarterly estimated payments so you are not surprised in April.
